5.2 Submission Data Retention

Manuscript submission files and contact data follow these operational retention periods:

  • Incomplete multipart upload data enters asynchronous object-storage cleanup about one day after the multipart upload begins. Actual deletion depends on storage scheduling and may occur later; cancellation does not promise exact deletion within 24 hours.
  • Files for a retryable failed submission are retained for no more than 7 days after the first retryable failure. Retrying does not extend this period.
  • Files for a rejected submission are deleted 90 days after review.
  • Files for a pending submission are deleted no later than 365 days after submission; files for an approved submission are deleted no later than 365 days after review.
  • Email addresses and submission notes for pending submissions are removed 365 days after submission; email addresses and submission notes for approved or rejected submissions are removed 365 days after review.

We may retain a minimal record that does not identify the submitter where needed for security, legal compliance, and operational auditing.

After we verify the requester's identity, a support or privacy request may request earlier deletion of stored manuscript and cover files and de-identification of identifiable submission fields, including book title, author name, email address, notes, and device or credential links. We may retain random submission identifiers, status, and the minimum non-PII audit record needed to document the request. These requests are handled through support and may require asynchronous processing; the Services do not currently provide instant self-service deletion for submissions.
